Public privacy notice

How we handle personal information.

We respect the privacy, dignity and choices of the people who contact us, support our work or participate in our programmes. This notice explains our current approach in clear language.

01

Who is responsible for your information

Sama Sojah Cares Ug. Ltd is responsible for personal information collected for its organisational work. Questions about this notice or the use of your information may be sent to samasojahcaresug@gmail.com.

02

Information we may receive

Depending on how you engage with us, this may include your name, contact details, organisation, correspondence, newsletter preference, donation information or payment reference, and information needed for a programme, partnership, safeguarding matter or volunteer engagement. We collect only what is reasonably needed for the stated purpose.

03

Why we use it

We use personal information to respond to enquiries, manage donations and partnerships, send updates where consent has been given, organise programmes, protect participants, maintain appropriate records, meet reporting responsibilities and comply with applicable obligations.

04

Newsletter choice

We add an email address to our update list only after a person makes a clear subscription request. Updates may include programme news, impact reports and ways to support the organisation. Consent may be withdrawn at any time by replying to an update with “unsubscribe” or emailing us directly.

05

Photographs, stories and safeguarding

We seek appropriate consent before using identifiable photographs or personal stories. Additional care applies to children and adults at risk. Consent for a photograph or story can be limited to a stated purpose, and privacy or safeguarding concerns may be raised through our official contact.

06

When information may be shared

Information may be shared only where reasonably necessary with authorised staff or volunteers, relevant service providers, payment providers, professional advisers, delivery partners or funders with a legitimate reporting role. We may also disclose information where the law requires it or where this is necessary to protect someone from serious harm.

07

Security and retention

We use proportionate administrative and technical measures to protect information. Records are kept only for as long as they are needed for the purpose for which they were collected, legitimate accountability and safeguarding needs, or an applicable legal or contractual requirement.

08

Your choices and rights

You may ask what personal information we hold about you, request correction of inaccurate information, withdraw consent, object to certain uses or request deletion where applicable. We will consider each request carefully, including any safeguarding, legal or record-retention responsibilities that may still apply.

Questions or concerns

Privacy should be understandable and practical.

Contact us first so that we can understand and respond to your concern. You may also learn about data-protection rights and oversight from Uganda’s Personal Data Protection Office.

A notice that grows with the organisation.

We may update this notice as our programmes, systems, service providers and legal responsibilities develop. The latest version will remain available on this page.
